Apply as a Charity

We are in the process of planning this year’s Festival to be held on Saturday 11th – Sunday 12th June 2011.

In order that we may involve the community as widely as possible, we are very keen to give local charities the opportunity to take part in, or contribute towards the Festival.

Charities will be expected to pay a non-returnable deposit of £25 for one day or £40 for two days for a table or similar space.

Cheylesmore Community Association (CCA) will assign a suitable location according to our needs and requirements within the park. A very limited number of tables are available.

E: Facility Requirements

The generator on site is limited. All equipment must be PAT tested and safe. Running water is not supplied. All equipment and extension cords are the responsibility of the charity. If you require the use of the generator for your facilities, please indicate the details below:

F: Fee Structure

All charitable groups must supply a £25 non-refundable deposit or £40 for two days that must be made payable to ‘Cheylesmore Community Association Ltd’.

G: Agreement

1. The retailer agrees to display his/her works according to Cheylesmore Festivals aims and objectives.

The aim of Cheylesmore Festival each year is to build a greater community spirit by providing an event with activities where individuals in the Community can gather and also provide a showcase for local community groups. The festival provides entertainment, refreshments, stalls and community resources for everybody in the area, encouraging involvement from local schools, youth groups, outreach organisations and musicians.

2. A contracted space must not be sublet without the approval and permission of Cheylesmore Community Association (CCA), and in writing on this contract.

3. All exhibitors agree to abide by the rules and regulations as set down by Cheylesmore Festival including the following:
a. No annoyance of spectators or other participants.
b. No electronic amplification from a booth or table will be permitted without permission.
c. Be responsible for the removal of litter or cost of removal of litter caused by own pamphlets/merchandise.
d. Charities must exhibit within contracted space.
e. Tents and structures must meet building codes and fire regulations.
f. Charities must comply with health and fire regulations.
g. Charities must provide all electrical cords and extension cords. Electrical outlets will be provided, where applicable, to each vendor who has prepaid.

4. All cashiers/sales persons are the responsibility of the charity.

5. The Charity hereby releases and discharges the Cheylesmore Festival, its employees and its volunteers from any claim or demand for any loss, damage, injury or liability arising from the operation and display of the exhibit and concessions. The exhibitor further agrees to indemnify the Committee, its volunteers, and its employees from any such claim or demand.

6. All goods must be removed by the date and time determined as indicated in the exhibitor registration package. Time is of the essence herein.

7. “On Site” rules relating to health, safety and fire must be immediately adhered to.

8. Make your certified cheque payable to: Cheylesmore Community Association Ltd. No post-dated cheques.

J: Exemption and Force Majeure

In consideration of this agreement, the retailer agrees and accepts that any loss, damage, injury or expense caused to goods or persons related to the retailer as a result of participation in the aforementioned event will not result in the liability of CCA, as subject to the Unfair Contract Terms Act 1977. This exemption of liability applies prior to, during, and after the dates of Saturday June 11th and Sunday June 12th 2011. This clause similarly apples in the unforeseen event of force majeure.

 I have also read and agree to the terms and conditions herein and hereby agree to abide by the rules of the Cheylesmore Festival. I understand that any violation of this contract is subject to damages and costs, and removal from the Festival.
